Policies & Services

Bookings:

To ensure a successful event, please reserve your date as soon as possible. For large parties over 300 people we require your final menu selections three weeks prior to your event.

Estimates & Guarantees:

The guaranteed number is the number submitted as your final guest count. Estimates are not considered firm until the contract is approved, and the final count is received. The number must be given to the Catering Sales Office at least three (3) business days* prior to the event. (Note: Guarantees for events over 300 people must be received no later than seven (7) business days* prior to the event.)

Saturday, and Sunday events must be finalized by 5:00 pm on the preceding Wednesday.

*Saturday and Sunday are not considered business days for the purposes of booking, confirming or altering a previously booked event.

Special Services:

To add to the overall appearance of your event our sales staff can make arrangements for flowers, balloons or special linens and have those costs added directly to your final invoice. Please contact our sales office to inquire about these special services.

Food Policies:

Due to Health Board Regulations and the nature of catering service, any food not consumed may not be removed from the serving location and remains the property of University Catering. Please use care in selecting your menu.

Outside Food and Beverage:

No outside food or beverage of any kind will be permitted into a catered function.

Bar Service:

The Catering staff cannot serve as an agent to procure alcohol for an event but we will deliver alcohol from Talley Student Center to your event. Serving of alcohol requires a bartender in attendance. We will charge $40.00 per hour per bartender. Contact the Catering Office for details.

Cancellations:

An event may be canceled with no charges up to 72 business hours prior to the event. Cancellations made after the 72 business hour deadline will incur the total cost.

Adverse Weather:

During adverse weather or the threat of adverse weather, if you choose to cancel your event you will need to do so during our regular office hours (8:00a-5:00p) the day before your event. If you cancel the day of your event you will be subject to certain fees or charges due to the timing of the event or if production has begun on your food. If you rebook your event at this time no charges will be incurred. If the University is closed due to adverse weather, University Catering reserves the right to limit or cancel service due availability of and safety of staff, both production and service. If you cancel within the specified time or University Catering cancels your event, you will not incur any fees or charges.

Billing:

Campus Accounts: An account number will be required prior to booking your event. Please have this information available when booking an event.

Sustainability:

If you would like to make your event more eco-friendly, we can supply compostable products. Contact us and we can provide you with information about this service.
